Nonprofit FAQ

Q. What is KY Gives Day?

KY Gives Day is an opportunity for Kentuckians (near and far) to come together to make donations to participating Kentucky charities in an effort to raise as much money as possible in 24 hours. On May 7, from 12 a.m. to 11:59 p.m. ET, supporters of Kentucky nonprofits will go online, connect with causes they care about and make tax-deductible donations. Supporters will search for participating nonprofits and simply click to donate. Note: The Kentucky Gives Day site will open for donations from May 1 through May 8, but leaderboard placement and prizes will be determined based on gifts made only on Kentucky Gives Day itself (May 7, 2024).

Q. How Does KY Gives Day Work?

Donors visit www.kygives.org and use the search function to either browse for organizations of their interest or find a specific organization of their choice to make a donation. Donors can also connect to the site with a direct link sent to them by participating nonprofits via email or shared on social media.

The Kentucky Gives Day site will be open for donations from May 1 through May 8, however KY Gives Day itself officially takes place on May 7.

Leaderboard placement and prizes will be determined based on online gifts made only on Kentucky Gives Day itself (May 7, 2024). For organizations seeking prizes, gifts must be made:

  • Between 12 a.m. and 11:59 p.m. ET on Tuesday, May 7
  • Via credit card ($5 minimum donation) or via ACH withdrawal ($100 minimum donation) *Note that ACH withdrawal is temporarily disabled due to technical issues with Stripe. Credit card donations are not impacted.
  • Online at www.kygives.org

Q. Why should my organization participate?

  • Participating organizations are encouraged to utilize Kentucky Gives Day to boost their organization's online fundraising efforts. Your organization can send your supporters a direct link to your profile to make giving and sharing your cause via email and social media even easier.
  • Your nonprofit and its friends, along with media partners, will help drive Kentuckians from across the state (and often the nation) to the kygives.org site, where you can tell your organization's unique story with photos and videos.
  • Kentucky Gives Day provides outstanding visibility that only a statewide effort of this magnitude could generate. Thousands of potential donors can find you via the search function on kygives.org and through direct links to your page on the site. Plus, your nonprofit and its friends can use email and social media to help spread the word.
  • Online fundraising is cost-effective. Raising $1 online typically costs only 8 cents, as opposed to an average of 20 cents for grant proposal writing, 50 cents for special events or up to $1.25 to acquire donors through direct mail.
  • By securing a match for your organization and leveraging your donors, volunteers, and other fundraising champions, your organization can take advantage of Kentucky Gives Day to create a compelling giving opportunity that can engage new donors and inspire existing donors to give more.
  • Nonprofit registration is open from February 28 through April 17, 2024. at www.kygives.org (Note that registration is NOT automatic. In order to participate in KY Gives Day, you must register at www.kygives.org.)

Q. How much of each donation will go to our organization?

GiveGab retains a 3% campaign management fee from all donations made online from May 1 through May 8. For credit card payments, there is an additional fee of 2.5% + $0.30 per transaction. For ACH payments, there is an additional flat $3 fee per transaction (note ACH is available for gifts of $100 or more). 100% of all donations are tax-deductible for the donor. All donations will be officially receipted by your organization. GiveGab does this automatically on your organization’s behalf after each gift is made online.

Charities will receive all donations (less the total GiveGab/credit card fee of 5.5% + $0.30 per transaction, or less the total GiveGab/ACH fee of 3% + $3 per transaction). Donors have the choice to cover all fees upon making their donation; if they choose this, charities will receive 100% of the intended donation amount. *Note that ACH withdrawal is temporarily disabled due to technical issues with Stripe. Credit card donations are not impacted.

Charities will receive donation payouts within 5-7 business days of the day the donation is made. Charities will have immediate and ongoing access to donor information for acknowledgement and download via the GiveGab website.

Q. Can more than one person claim admin access on our organization's page?

Yes, pending approval from existing administrators. It is possible for more than one person to claim administrative access so they may change and edit the organization's Kentucky Gives Day page. All administrators will need to create personal profiles on GiveGab using a unique email address. Every person who has administrative access will receive emails about updates to their page.

Q. What are "online" vs. "offline" donations? How do offline donations and matches work?

Online donations are donations given online via the GIveGab/ www.kygives.org portal (May 1 through May 8). If donors give cash or check donations during the May 1 through May 8 donation window, or credit card donations outside of the GiveGab/ www.kygives.org portal, you should manually enter that as an "offline" donation. Learn more about entering offline donations here.

Your organization is encouraged to secure matching gifts. Matches are a compelling giving opportunity to help you engage new donors and inspire current donors to donate more! Your matching gifts may be given online through GiveGab/ www.kygives.org or you may handle them internally and enter them as an "offline" donation. Read more about matches here.

Internally processed/"offline” matches will not count toward prize totals on May 7, 2024.

Note: If your organization adds a match to your profile, you will be contacted by the KNN team in advance of May 7 to determine how the match will be handled at the end of KY Gives Day. If the match fund(s) are unrestricted – meaning your match sponsor will give your organization the full match amount regardless of if other donations are received – the KNN team will provide information on how you can mark your match as “depleted” (in other words, received) just prior to midnight on May 7. This helps ensure an accurate total offline donation count for KY Gives Day. The KNN team is here to assist and will provide more information on matches and match depletion as KY Gives Day approaches.

Q. Why is it important that I enter any donations made on other sites or offline?

Any funds your organization raises offline/outside of the KY Gives Day GiveGab platform during the KY Gives Day giving window (May 1 through May 8) must be entered as offline donations on the KY Gives Day site within 24 hours (or by midnight on May 7 if possible; May 8 at the latest). This is necessary to demonstrate the full reach of the KY Gives Day event and the true power of the statewide giving day. Failure to comply with this requirement could jeopardize your organization’s future participation in KY Gives Day.

Q. What are KY Gives Day prizes?

The ultimate goal of KY Gives Day is to raise awareness and donations for participating nonprofits. Thanks to KNN, its sponsors, and its regional partner, cash prizes will also be awarded on May 7 to encourage friendly competition and provide a boost to participating nonprofits. While the site will be open for donations May 1 through May 8, prizes will be determined based on online gifts made only on Kentucky Gives Day itself (May 7, 2024).

More prize information will be available in mid-April.

Q. What are the leaderboards?

On May 7 only, there will be two leaderboards on KYGives.org. The main leaderboard on the home page will showcase all participating nonprofits. The Central Kentucky Community Foundation (CKCF) leaderboard on the CKCF regional partner page will showcase nonprofits eligible for regional prizes. Both leaderboards will list total online dollars and total online donors for May 7 only. The leaderboards are designed to help raise awareness of participating nonprofits and encourage friendly competition.

Q. What is the heat map?

During the entire giving window (May 1 through May 8), there will be a heat map on the home page of KYGives.org. Counties on this map change color based on locations of donors who give online (approximate locations based on zip codes). This heat map does not affect prizes or leaderboards, but allows us to visualize the power of giving across the state!

Q. How will organizations receive the donated funds?

Each donation made to a participating nonprofit will be disbursed directly from GiveGab's payment processor, Stripe, via direct deposit to your bank account within 5-7 business days, less any fees (explained above).

Q. Does my organization need to enter bank account information to participate?

Yes. To participate in Kentucky Gives Day, your organization must enter information for a valid US bank account ; this is necessary so that your organization can receive ACH transfers of any donations made from GiveGab's payment processor, Stripe. *Note that ACH withdrawal is temporarily disabled due to technical issues with Stripe. Credit card donations are not impacted.

Q. Why do you require the full or partial Social Security number of the nonprofit administrator, date of birth, address, and phone number for a nonprofit's donation payouts?

GiveGab is an online platform that collects, processes and distributes money in the form of donations from supporters to organizations, and they fall under certain regulations. In particular, for US-based organizations, they are required to abide by the compliance laws that are part of the Patriot Act, the FinCEN Customer Due Diligence rule, and the Know Your Customer (KYC) rules. Recently, new verification requirements were passed by financial regulators that enforce KYC rules. The requirement for additional information is required to help create a safer and more secure financial ecosystem by helping prevent crimes like money laundering, fraud, and tax evasion. Any platform that accepts online payments will need to comply.

In short, GiveGab needs to verify that the individual who is signing up an organization to collect donations (i.e. the signer) is who they say they are and is authorized to do so. And we need to verify that the organization is a legitimately registered nonprofit organization.

Collecting this information helps us streamline donation processing and payouts with our underlying payment processor (Stripe) and the financial institutions that they work with.

Most importantly, we have a duty to our users that when they choose to support a cause with a monetary gift, that money is going where they expect is to go! You can read a full explanation here, including how this information is stored. Read here for more information on Stripe's new requirements.

In order to comply, organizations participating in KY Gives Day 2024 that have previously been verified to receive donations on GiveGab may need to provide additional information to maintain their verification status. If additional information is required of your organization, GiveGab will be reaching out with instructions on how to view and provide that information through a secure portal. Organizations that have not previously been verified to receive donations on GiveGab will be required to provide this information during account creation.

Q. Who is GiveGab?

GiveGab is Kentucky Nonprofit Network's technology partner for Kentucky Gives Day. GiveGab is an online giving platform that helps nonprofits raise money, engage donors and manage volunteers quickly and efficiently. GiveGab offers a full portfolio of simple and easy-to-use products that allow organizations to function in a more streamlined manner.

Q. What portion of a donation made on GiveGab is tax-deductible?

All organizations participating in Kentucky Gives Day are 501(c)(3) charitable nonprofits or schools, therefore the full amount of a transaction (including processing fees) is tax-deductible. The GiveGab platform provides each donor with the option to cover the cost of platform and processing fees at the time of donation.

Consider this example: If an individual made a donation of $100 via a direct mail solicitation and provided the charity with a credit card to process the gift – it may have cost $5 to print, process and mail the direct mail piece and $1 to process the credit card payment. The donation receipt would still acknowledge the $100 donation and would not deduct the organization’s costs to solicit the donor and process the gift. The beauty of Kentucky Gives Day is that, unlike with direct mail or special events, the donor can choose to offset the actual cost of processing the gift (and many do)! That’s why online giving with this option is such an affordable tool for nonprofits.

GiveGab and KNN do not provide tax advice, and we urge nonprofits participating in Kentucky Gives Day to avoid doing so also. If any donors have questions or concerns, we urge you to encourage them to consult their tax professional.

Q. What is state charitable solicitation registration and why is it important?

Kentucky and most states have charitable solicitation laws to protect consumers. Registration varies by state. If you are soliciting funds in Kentucky, annual registration is required by Kentucky law. If you are actively raising funds in other states (and the definition of “actively raising funds” varies by state), you may also need to register in those states or modify your solicitation strategy in those states. Maintaining the public’s trust is important for the nonprofit sector. Fundraising registration is a simple process, it’s free, and again - it’s the law.

To participate in Kentucky Gives Day, all nonprofits must be registered with the Kentucky Office of the Attorney General and appear on this list by April 15, 2024 (firm deadline). Some nonprofits may also need to register in other states.

READ THE NEXT SECTION FOR MORE INFORMATION ON HOW TO REGISTER.

Q. When I check the box on GiveGab to declare state charitable solicitation registration compliance, what am I attesting to?

When you check the box you are attesting (defined as "declaring that something exists or is the case") that your organization is compliant (or will become compliant by April 15, 2024) with applicable state fundraising requirements in the states in which you may solicit donors using the GiveGab platform. The KY Gives Day registration form includes an opportunity for you to upload proof of your annual registration with the Kentucky Office of the Attorney General; when registering for KY Gives Day, you'll simply upload a screenshot/photo (saved as PDF) of the page showing your organization's name on this list (click here for an example screenshot with instructions). Q. Who is GiveGab?

GiveGab is an online giving platform that helps nonprofits raise money, engage donors and manage volunteers quickly and efficiently. GiveGab offers a full portfolio of simple and easy-to-use products that allow organizations to function in a more streamlined manner.

Q. Why online giving?

Online giving is an affordable and effective way for the causes you care about to raise needed funds and tell their stories. All fundraising activities have a cost for the nonprofit – direct mail typically costs $1.25 per $1 raised to acquire a new donor, special events typically cost 50 cents per $1 raised and grants typically cost 20 cents per $1 raised. Raising $1 online typically costs 8 cents, making it a very affordable fundraising tool for nonprofits, especially smaller organizations.

Q. How much of my donation will go to the nonprofits?

GiveGab retains a 3% campaign management fee from all credit and debit card donations. Credit card processing fees are an additional 2.5% + $0.30 per transaction. Donations made via ACH withdrawal have a flat $3 fee per transaction (note ACH is available for gifts of $100 or more). You are given the option to cover the fees, and if you choose this option, 100% of your online charitable gift will go to the receiving organization. As mentioned above, online giving is one of the most cost-efficient tools available to nonprofits to engage in fundraising to support their mission. *Note that ACH withdrawal is temporarily disabled due to technical issues with Stripe. Credit card donations are not impacted.

Q. Who will receive my contact information?

The organization(s) you choose to support will receive your name and contact information, even if you choose to make your contribution “anonymous” at checkout. As host of Kentucky Gives Day, Kentucky Nonprofit Network will receive contact information for donors who participate in Kentucky Gives Day. This information is used solely to thank the donor for participating, to provide the option to opt-in to receiving future notifications from Kentucky Nonprofit Network, and to notify the donor of future Kentucky Gives Day activities. It is the policy of Kentucky Nonprofit Network to never sell or distribute submitted information to any third parties. Your information is used internally for KNN purposes only.

Q. Can I get a refund?

All donations are final and cannot be refunded.

Q. Do I need to have an account with GiveGab to donate?

No, you do not need to create an account to make a donation. However, if you plan to give multiple times or to multiple charities during Kentucky Gives Day, creating an account means you only have to enter your credit card information once. Your account also collects your tax receipts in one location, enables you to track your donation, review the charities you support, and schedule future giving.

Q. How do I get a tax receipt?

Your tax receipt is emailed to you immediately by the organization you donated to upon successful processing of your donation. To claim a donation as a deduction on your U.S. taxes, please retain your email donation receipt as an official record. Please include your full name, date of donation, amount of donation and name of your designated nonprofit.

Q. I'm checking out and I see an option to add a donation to Kentucky Nonprofit Network (KNN). What is that?

During checkout, after donating to their favorite nonprofit(s), donors will have the option to add an optional donation to KNN, the nonprofit host of KY Gives Day. This optional donation invests in free KY Gives Day resources for our members, a unified advocacy voice for all nonprofits, and more to ensure a strong nonprofit sector in Kentucky. Q. What portion of a donation made on GiveGab is tax-deductible?

The GiveGab platform provides each donor with the option to cover the cost of fees at the time of donation. This option allows participating nonprofits to realize the full amount of the intended donation. Organizations participating in Kentucky Gives Day are 501(c)(3) charitable nonprofits or schools, therefore the full amount of the transition is tax-deductible, whether the donor chooses to include these fees in the donation or not.

Consider this example,: If you made a donation of $100 via a direct mail solicitation and provided the charity with your credit card to process the gift – it may have cost $5 to print, process and mail the direct mail piece. Your donation receipt still acknowledges the $100 donation and does not deduct the organization’s costs to solicit you and process the gift. The beauty of Kentucky Gives Day is that, unlike with direct mail or special events, the donor can offset the actual cost of processing the gift. That’s why online giving with this option is such an affordable tool for nonprofits.

GiveGab and KNN do not provide tax advice. If you have questions or concerns, please consult your tax professional.
